Tools and Techniques of Time Management by Tabatha Anderson

Do you have client meetings daily from 8:00 am to 5:00 pm? Are you struggling to prioritize when and where you need to be? Do you find yourself stressed because you cannot get a “grip” on the day?

These are problems that people around the world struggle with every day. If you are unable to manage your time well, it could become impossible to reach your goals, both in and outside of work. To be successful and best utilize your time, you have to understand how to manage your time effectively.

 

There are many tools and techniques available that can help with personal, professional, and project time management. Here are a few tool options:

  • Paper: If you just can’t grasp today’s technology, try writing your tasks down on paper.  Determine what would be the best use of your time and prioritize your tasks.
  • Technology: Using the calendar on your phone is extremely helpful. Alerts can be customized based on individual needs.
  • Assistant: These key people in your life can make sure you are where you are supposed to be when you are supposed to be there.

Some techniques that can help manage time include:

  1. 80/20 Rule: This means that 20 percent of your efforts produce 80 percent of the results so figure out which tasks are your most important and focus on that 20 percent.
  2. Organize: When you are organized, things fall into place.
  3. Prioritize: Not every task is of equal importance. It may be helpful to prioritize by due date, stakeholder investment, and risk. Take a look at how one of our consultants manages his time in this manner.
  4. Say No: You can’t be everywhere at once or complete every project. Learn to decline work instead of taking it on and being overwhelmed.
  5. Don’t Procrastinate: Get started on your task list right away even if that means delegating.
  6. Remove electronic distractions: Delete unnecessary apps on your phone that are a wasteful use of your time.
  7. Unplug: Turn off your notifications if possible.
  8. Stick to the plan: Since you have already prioritized, and if it remains on your list, follow through.

Life and work can be stressful. If you begin to use the tools and techniques provided, much of your stress can be eliminated.
