Business Process Improvement is vital in managing services and ensuring that those services are being delivered efficiently from start to finish. As variables change, so does the business, and therefore, improvement is a lifelong friend of any industry.
Businesses may struggle to manage these inevitable changes but services such as Business Process Mapping (BPM) can help them stay ahead of any adverse effects that changes may cause. One of the more difficult parts of these improvement strategies can be figuring out a way to effectively document a process in a way that sufficiently captures the details needed to forecast a better process. netlogx has mastered this.
To dissect any business process, roles and responsibilities are divided amongst a team of three members:
- Facilitator
- Business Analyst (BA)
- Project Coordinator (PC)
By breaking down the process piece by piece, the netlogx team works with business owners and subject matter experts to identify issues and concerns within current processes and needs of future processes. I have had the opportunity to play the role of each of these BPM craftsmen in my time here with netlogx. Here are the takeaways I’ve had from my experience in each of the roles.
One of the many reasons the PC is a vital role in process improvement is for the documentation of action and discussion items during meetings which are necessary for the forward movement of any project. Specifically, for BPM, I’ve found that the PC is a mastered teammate of the Business Analyst. It can be difficult and sometimes impossible for the BA to simultaneously document the process steps, issues, concerns, and requirements. Luckily the PC is recording all the items that the BA may have missed during that long two-hour session.
The position of BA can be overwhelming because of the sheer amount of input each individual has. There are generally a lot of people who have important information to give, often at overlapping times. Being responsible for documenting all of this in an organized fashion can be difficult. Thankfully, netlogx BA’s have a mastery level of Visio.
Having background knowledge and practice with Visio not only makes the job possible but impressive to the client. More often than not at the end of our meetings, clients compliment the BA on their depth of skill and how quickly they visualize comments up on the screen.
Similar to the BA is the Facilitator. They are the one at the front, attempting to rein it all in as well as move things forward. This individual is responding to client discussion, formulating useful questions, non-verbally gesturing with the BA, pointing at a relevant spot on the screen, and reading the PC’s mind, all at once. But in the back of every Facilitator’s mind is one thing – Keep Calm and Facilitate On.
It sounds like a lot, and it is, but as I mentioned before, these three teammates are craftsmen of their work. Fitting like a puzzle, they come together to help improve their clients’ business processes.
