Periodically, during the life span of an organization, business processes should be reviewed and updated for numerous reasons. As a business grows and workloads increase, processes may need to grow with them. Systems are updated or implemented and they result in changed or new processes. Current processes could change due to turnover or a relaxation of the process over time. Governmental regulations change, and likewise, the process affected must change to accommodate new requirements.
Business is in a constant state of flux and processes need to be reviewed and re-engineered to keep up with changes. When processes run smoothly and efficiently, the business can save money or find ways to use their resources more efficiently.
Business Process Re-engineering addresses changes and improves the efficiency of a process. The first step to Business Process Re-engineering is to assess the current process by:
- gathering related documentation,
- observing and noting the current process as it is being performed,
- determining measurement criteria for the process, and
- recording those metrics.
A Business Process Model is created for the process as it is currently performed, and related business requirements and issues are recorded. After analyzing the current process model, issues and requirements collected, system capabilities and any other documentation, a future state or To Be Business Process Model is created.
Testing is performed on the To Be process model and the model is updated based on findings. Related policies and procedures are created or updated as needed, and training is provided for the new process. Once implemented, a post-implementation assessment is performed through observation and gathering of new metrics which are compared with the previous metrics to determine changes in efficiencies.
